Privacy Policy

ReplyFlow ("we", "us", "our") builds tools that help businesses manage customer conversations. This Privacy Policy explains what information we collect, how we use it, and the choices you have.

What we collect

When you create a ReplyFlow account we collect your name, business name, work email, and a password (stored as a one-way hash). While you use ReplyFlow, we process the customer conversations you route through it — this is your data, and it remains yours.

How we use your data

  • To operate ReplyFlow and its AI reply features on your behalf.
  • To send you transactional emails (priority message alerts, receipts, security notices).
  • To improve product reliability. We do not use your customer conversations to train third-party AI models.

AI processing

To generate AI replies, message content is sent to OpenAI over encrypted transport. OpenAI processes the content transiently and does not use API traffic to train its base models.

Payments

Subscription billing is handled by Stripe. ReplyFlow never sees or stores your card details.

Security

We use industry-standard encryption in transit (TLS 1.2+), scoped access controls, and regular security reviews. If we ever detect a breach affecting your data, we'll notify you promptly.

Your rights

You can export or delete your data any time from Settings → Account. To contact our privacy team, email privacy@replyflow.app.
